INSTRUCTIONS FOR UPLOADING AND EDITING PAPERS ON THE CONTRIBUTIONS MANAGEMENT PORTAL

1.0 Introduction

As you are aware, the processing of papers and their inclusion is being handled on a dedicated portal at https://congress.icidevents.org The process therein especially for the full length papers require some specific paths to be followed on the portal for ease of authors and reviewers. The document describes the same.

If there are any difficulties in following the process, please let us know at icid@icid.org for resolving your specific issue.

Please note that the entire submission process is being followed through the portal only and any abstracts/ papers received through any other means will be ignored.

It is expected that at least one of the authors has registered on the portal. All communications and processing facility is available to the user who has registered and has submitted the paper using her/ his credentials.

2.0 Submission of Extended Abstracts

1. For submission of the extended abstracts, navigate to [Abstracts]--[Submit New].

2. Select an appropriate session.

3. Provide title of paper.

4. Add all the authors in the sequence in which you would like to have them appear in the authors’ list in the final publication. Completing one author at a time, press [Add Author] button once to add the author to the list below. Each author entry will be validated and a prompt over the [Add Author] button will indicate any errors. Any incomplete entries will not be added to the list and consequently to the database.

5. Type extended abstract text in the given box. You may prepare the text in a separate document and then copy-paste the same here to avoid session timeout issues while you are typing.

6. Type the keywords (maximum 5 keywords for an abstract) one each in the text boxes given. Each keyword can be a combination of one to three separate words. For example, valid keyword formulations are: “Water”, “Water Management” and “Crop water requirement”. However, the keyword “water management strategies for agriculture” is not a valid keyword.

7. Please avoid using area specific words and proper names in the keywords and try to have generic words in the keyword formulation for your paper to appear in scientific searches. Also avoid using plural formation in the keyword.

8. Having completed all the above steps, press [Submit Abstract] button once only for submitting the abstract. Any errors in data that may need correction will be pointed out on top of the button in red font. In the event of errors, the abstract will not be loaded into the database. Please remove all the errors pointed out and then retry to submit the corrected abstract.

9. Please do not press the [Submit Abstract] button more than once as it takes time to upload the records and send you an automated acknowledgement mail to your registered email address. Repeatedly pressing the button leads to unexpected behavior and multiple entries, which can be confusing later on in the process.

10. You will receive an acknowledgement mail from the address congress@icidevents.org. Please make sure that this address is registered in your mail box to avoid mails from this address going to junk/ spam folders.

11. You can check up on the review progress by logging on to the web portal.

12. Note that all the communication originating from the portal will be from congress@icidevents.org only. However, your responses should be addressed to icid@icid.org only.

3.0 Submission of Full Length Papers

1. Your abstract will be reviewed by our team of reviewers and you will be intimated about their decision regarding inclusion of full paper.

2. Similar process will have to be followed for the submission process. However, there are some significant changes which you might like to note.

3. Submission of the full length paper can be made by navigating to [Papers]--[Submit New]

4. Paper submission process requires you to upload a word document file in “.docx” format. It is necessary that you prepare your full paper using the instructions and formatting styles specified in the files at the links given on the top of the paper submission form. Relevant links are

5. Please note that the paper file should not be larger than 10MB including all the text, images and other embedded objects, if any.

6. At the first stage, download the format files and prepare your paper offline using the specifications contained therein.

7. Once you are ready with your paper, go back to the portal page.

8. Select the approved abstract against which you want to submit the paper. Press [Select] button.

9. The text boxes below will be filled up by the details as per your approved abstract. You may change them as per full length paper details, as you might have made some changes while preparation of the full length paper. Please also note that the abstract text in the paper submission page exactly matches the one that you have provided in the paper file. This will avoid errors in preparing printed abstract volume.

10. Please note that the details given in the textboxes will be used for printing the abstract volume. It is advisable that there is no difference between your full length paper and the information contained in the textboxes on this form.

11. Press [Submit Paper] button for uploading the paper including all the files. Please note any error messages appearing just above this button on the page and rectify them for a successful upload.

12. As in case of abstracts, the errors will not allow upload of the paper. Please resolve them.

13. Please do not press the [Submit Paper] button more than once as it takes time to upload the records and the files and then send you an automated acknowledgement mail to your registered email address. Repeatedly pressing the button leads to unexpected behavior and multiple entries, which can be confusing later on in the process.

4 Editing Reviewed Papers

1. The paper reviewers will download the full length paper file and will examine the same. The reviewers may make comments in the body of the paper using some distinguishing marks like red fonts etc and replace the paper file submitted by you.

2. In addition, the reviewers may make some comments on the portal pertaining to the paper.

3. All these will be available to you to respond and rectify by navigating to [Papers]--[Modify Paper]

4. Select a paper awaiting your response and press [Select] button.

5. Download your paper file using the link below the button.

6. Note the comments offered by the reviewer, if any. You may copy-paste the comments on your computer for referring to them in offline mode.

7. At this stage, you may go offline and examine the paper file. Respond to comments made by the reviewer and make changes as necessary.

8. Having completed and saved the new version of the paper file, go back to the web page on the portal again and upload the new file through [Modify Paper] facility.

9. Press [Submit Paper] button for uploading the paper including all the files. Please note any error messages appearing on the page and rectify them.
